Our Organization:
The Eastbay Spanish Speaking Citizens’ Foundation, Youth and Family Services (SSCF) was incorporated as a nonprofit multi-service organization in 1965. The mission of SSCF is to help Oakland families enrich their lives, embrace their heritage, and develop as civic leaders by promoting educational enrichment and civic responsibility.

Position Overview:
The After School Program Assistant Coordinator will assist the Site Coordinator with the day to day implementation of the comprehensive program at a school site in Oakland’s Fruitvale district. Peralta Creek Middle School, is located at the former Calvin Simmons campus, at 2101 35th Avenue. The Assistant Coordinator position is part-time positions, 20 hours per week and is grant-funded as well (renewal of contract based on funding).

The Assistant Coordinator (AC) ensures that students are engaged in learning, that parents are contacted regarding their child’s participation, that the program functions smoothly, and that the required administration and data are collected and managed effectively. The AC reports directly to the Site Coordinator (SC) and is also under the supervision of the SSCF Director of Programs. Hours: 18-20 hours per week, approximately:

Duties and Responsibilities:
Attendance & Parent Calls
•Collects attendance sheets from teachers each day
•Verifies that all sheets are accounted for each Friday
•Enters attendance data in OAKS each day or weekly
•Compares the absences with school-day attendance each day
•Calls parents if a student was absent only from ASP (but present during school-day)
•Completes final attendance tally in OAKS by each monthly deadline
•Collects and tracks attendance from other ASP providers on site, such as SES programs

General student data:
•Manages info for all students, including address, parents’ contact info, ASP schedule
•Enters data from Registration Forms to a database or spreadsheet with above data
•Maintains extremely organized paper files and computer files, keeping data updated

OFCY & OUSD data management
•Takes info from OAKS to complete quarterly data reports for OFCY (not narratives, the Site Coordinator does the narratives)
• Collects necessary data from schools for the evaluation of the Results Statements (including comparisons of attendance, suspensions, etc.) twice per year
•Completes OFCY scope of work spreadsheet (counting service units, attendance) each quarter
• Assists SC with keeping meticulous records and paper filing system for the CMP audit (in compliance with the California Department of Education)

Parent, Staff, School and Agency Communications
•Assists SC (Site Coordinator) with bi-monthly parent/community meetings
•Assists SC with general Newsletters and letters to parents, fieldtrip announcements, parent-student fairs, etc.
• Facilitates communications between After School Program staff and school-day teachers to serve the students better. May attend meetings at the school site’s faculty/staff meetings as needed.
•Attends and helps SC prepare for monthly staff ASP meetings and semi-weekly tutor training meetings
•Attends bi-weekly or weekly meetings with SC and Director of Programs to trouble shoot about the program
•Attends bi-weekly meetings with all SSCF Youth Services staff and may attend SSCF Associates meetings

Assists Site Coordinator
•Fills in when needed during program hours, often instructing classes
•Other responsibilities to be defined, but first priorities are the above
•Orders and organizes program supplies and materials

Required Qualifications & Skills:
•Candidates should be bilingual or fluent in Spanish and English.
•Should have a Bachelors degree or equivalent of 2 years of office work experience
•Must be very organized, detail oriented and meticulous, especially with data entry and other tasks
•Should posses a strong work ethic, working efficiently and effectively
•Good knowledge of computers: Word, Excel and Outlook
•The preferred candidate is friendly and enjoys working with children or youth, and adults alike
•Must pass the Department of Justice background clearance and TB test

Salary, Benefits and Terms:

Status: Part-time/Non-Exempt
Reports to:Site Coordinator and Director of Programs
Pay Range:$14-$15 per hour
Benefits:Not eligible for benefits
Start/End Date:September 15, 2008 through June 12, 2009, excluding some school closure dates
